1. Scope and our role
Jeev Ventures LLC, doing business as AI Bexa and offering Bexa Hub ("Bexa Hub," "we," "us," or "our"), provides event-business software and the website at bexa-hub.com. This Privacy Policy describes our handling of personal information through the website, Bexa Hub accounts, and related services.
For account registration, subscription management, and our website, we generally determine why and how relevant personal information is processed. For event-client information uploaded by a subscribing business, that business generally determines the purposes and means of processing, and we act as its service provider or processor, as applicable.
2. Information we collect
Business and account information. Names, company names, business contact details, usernames, account settings, user roles, and support communications.
Connected email account information. If a subscriber connects a Google account to send email, we collect the connected email address and a secure access token.
Customer content. Information subscribers enter into their workspaces, such as client contacts, leads, event dates and venues, proposals, contracts, invoices, financial records, forms, photographs, schedules, inventory, task assignments, messages, and attachments. This can include personal information about event attendees and clients.
Billing and payment information. Subscription details, invoices, and transaction information. Payments may be handled by Stripe, which processes payment information under its own privacy documentation. We do not need to store full card numbers to manage subscriptions.
Technical and usage information. Information such as IP addresses, device and browser details, session and authentication data, cookies, access logs, diagnostic information, and interaction with our services.
3. How information is used
- To create accounts, deliver software features, and provide service and customer support.
- To process subscriptions, maintain invoices, and send administrative communications.
- To secure accounts, detect abuse, diagnose errors, and maintain system reliability.
- To provide requested AI-assisted workflows and other integrations.
- To understand product performance and improve features using appropriately limited, aggregated, or de-identified information.
- To comply with laws and enforce our agreements.
4. Your business data belongs to you
Subscribers retain their rights in the leads, client lists, event records, proposals, photographs, and other content they submit. We process customer content to provide the services, follow the subscriber's authorized instructions, and meet applicable legal obligations. We do not acquire ownership of your customer records.
5. Confidentiality and non-solicitation
We do not sell subscriber lead lists or use one subscriber's confidential leads, customer lists, or event records to solicit those customers for another subscriber, an affiliated event business, or a competing event business. Access by authorized personnel and service providers is limited to legitimate service delivery, requested assistance, security, and legal requirements.
6. AI processing and model training
Bexa Hub may offer AI-assisted summaries, drafting, planning, and operational features using technology provided by Anthropic and other services as features evolve. Content needed to perform a requested AI operation may be sent to an AI provider for processing.
We do not use customer records to train AI models. We do not authorize AI providers to use subscriber customer records for model training through our Bexa Hub integrations. AI providers may have their own operational retention and security practices described in their agreements and privacy documentation; these should not be confused with permission to train on subscriber data.
7. Google user data (Gmail connection)
Bexa Hub lets a subscriber connect their own Google or Gmail account so that emails written in Bexa Hub, such as proposals, invoices and messages to their clients, are sent from the subscriber’s own email address. When a subscriber connects, we request only the permission to send email on their behalf (the Gmail “send” permission) and their email address.
What we do with it: We use this permission only to send the messages the subscriber writes and sends in Bexa Hub. We do not read, search, list, download or store the contents of the subscriber’s mailbox. We do not use Google user data for advertising, and we do not sell it or share it with third parties.
AI and training: We do not use Google user data to develop, improve or train AI or machine-learning models.
Storage and protection: Bexa Hub stores a secure access token, kept encrypted, which lets it send on the subscriber’s behalf, along with the connected email address. Access is limited to what is needed to send the subscriber’s messages.
Control and deletion: A subscriber can disconnect their Google account at any time in Bexa Hub (Settings, Email, Disconnect), which deletes the stored token. They can also remove access in their Google Account under Security, Third-party access. To request deletion of any related data, contact info@aibexa.com.
Bexa Hub’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
8. Our service providers
We use or may use IONOS for hosting and infrastructure, Stripe for payment processing, Google for applicable services and analytics or integrations, and Anthropic for AI-powered functionality. These providers process information as appropriate to their role. We may use additional vetted providers as the platform develops.
We may disclose information where required by law or reasonably necessary to investigate fraud, protect users, secure services, or respond to legal process. We do not sell subscribers' confidential client lists to event-industry competitors.
9. Cookies and analytics
We may use essential cookies and similar technologies for sessions, authentication, security, and preferences. Google services may support analytics or other integrations where enabled. Where applicable law requires notice or consent for nonessential technologies, we will provide appropriate controls.
10. Security
We use reasonable organizational and technical safeguards appropriate to the information processed. No system or transmission is perfectly secure. Subscribers should protect passwords, manage employee permissions, and notify us promptly of suspected account misuse.
11. Retention, export, and deletion
Information is retained as reasonably necessary to deliver the service, administer subscriptions, comply with legal obligations, address disputes, and safeguard systems. Following termination, customer content may remain temporarily in operational systems or backups under our retention practices and legal obligations. For available export or deletion options, contact info@aibexa.com. Specific export formats and deletion timeframes are not guaranteed unless separately agreed.
12. Privacy rights and subscriber requests
Depending on applicable law, individuals may have rights to access, correct, delete, or receive copies of personal information, or to make certain processing choices. Contact us using the information below. If your information was entered by an event company using Bexa Hub, direct your request to that company first; we will assist subscribers with appropriate requests as required by law and our agreements.
13. Children's information
Bexa Hub accounts are intended for business users and are not directed to children under 13. Event records may include information about minors when submitted by a business subscriber; subscribers are responsible for collecting and using that information lawfully.
14. International processing
Information may be stored or processed in the United States and other jurisdictions where we or our providers operate, subject to applicable law and contractual safeguards.
15. Changes to this policy
We may revise this policy as our services evolve. The updated policy will display a revised date, and we will provide additional notice when required by law.
